Conference Terms & Conditions

1. Eligibility for Member Pricing

Member pricing is available to current financial members of Ia Ara Aotearoa Transporting New Zealand (TNZ) and to staff of the member’s organisation. Spouses and companions of registered conference attendees are also eligible for member pricing for the Partners Programme.

If a non-member registers using a member ticket, TNZ reserves the right to cancel the ticket or issue an invoice for the difference between the member and non-member rate. Registrations will not be fully confirmed until any outstanding balance is paid.

2. Registration Fees and Payment

All conference tickets, dinner tickets, and programme add-ons are charged at the rates published on the event website and are exclusive of GST.

Payment is required by credit card at the time of registration; a 3% credit card surcharge applies to all credit card transactions. TNZ does not store credit card information and cannot process additional charges after payment is completed. If an incorrect ticket type has been selected, an invoice will be issued for any balance owing.

A registration is considered confirmed once payment has been successfully processed and any outstanding amounts have been settled.

3. Changes to Registrations (Transfers)

All transfer requests must be submitted in writing by the registered attendee or their organisation.

  • Tickets may be transferred to another person up to and including 12 June 2026, subject to eligibility for member pricing where applicable
  • Transfers requested from 13 June 2026 onwards may be accepted; however:
    • TNZ cannot guarantee that dietary requirements can be accommodated
    • Catering changes may incur additional charges
    • Venue security and operational limits may restrict late transfers

4. Cancellations and Refunds

All cancellation requests must be submitted in writing by the registered attendee or their organisation. The following refund schedule applies:

  • 100 percent refund for cancellations received on or before 31 May 2026
  • 50 percent refund for cancellations received from 1 June to 11 June 2026
  • No refunds for cancellations received from 12 June 2026 onwards

No-shows are not eligible for refunds.

TNZ reserves the right to change the date, time, venue, programme, speakers, or format of the Conference if required. If the Conference is cancelled, TNZ’s liability is limited to a refund of the registration fee paid. In the event of a postponement or material alteration, TNZ will work with registered attendees to determine an appropriate refund or credit arrangement.

5. TNZ’s Right to Cancel Registrations or Refuse Admission, and Conduct of Guests

All attendees must conduct themselves in a manner that supports the safety and enjoyment of others.

TNZ and the venue reserve the right, without refund or compensation, to refuse admission or remove any attendee where there is reasonable cause to do so. This includes situations involving incorrect tickets, security or safety concerns, disruptive behaviour, damage to property, or failure to comply with these Terms and Conditions or venue requirements.

6. Photography, Video, and Media

By attending the Conference, you acknowledge that photographs and video footage will be taken for use in TNZ’s promotional, marketing, and reporting material across print, digital, and social media platforms.

If you do not wish to be photographed, you must:

Advise TNZ in writing before the event, and

Identify yourself to TNZ staff upon arrival so this preference can be recorded and a reference photograph taken to ensure you are blurred or obscured in all post-production content

TNZ will take reasonable steps to exclude you from photographs and video footage. Where exclusion is not possible due to the nature of the event, you will be blurred or otherwise obscured during editing.

7. Privacy and Personal Information

Information collected during registration or attendance may include personal information. By registering, you acknowledge and agree to TNZ’s General Privacy Policy and consent to the use of your information for event administration, attendee lists, sponsor engagement, and follow-up communications related to the Conference.

Basic delegate information may be shared with eligible sponsors in accordance with TNZ’s Delegate List Access Policy. No additional personal information (such as phone numbers or physical addresses) will be shared.

If you do not wish your details to be provided to sponsors, please advise TNZ in writing prior to the event.

8. Intellectual Property

All intellectual property rights in Conference content, presentations, materials, recordings, and associated media are owned by TNZ and/or the presenters or sponsors. Attendees may not copy, reproduce, modify, republish, upload, post, distribute, or share any Conference materials without prior written consent.

9. Speaker Disclaimer

The views expressed by conference speakers and presenters are their own and do not necessarily represent the views of TNZ. TNZ does not accept liability for advice given, statements made, or content provided by any speaker.

10. Limitation of Liability

To the fullest extent permitted by law, TNZ excludes all warranties and liabilities in relation to the Conference, whether in contract, tort, or otherwise. TNZ is not responsible for any loss, damage, or injury arising from attendance at the Conference, reliance on information provided by presenters, or any errors or omissions in event materials.

11. Amendments to Terms and Conditions

TNZ reserves the right to amend these Terms and Conditions at any time. Any updated version will apply to all registered attendees and will be made available on the Conference registration page.

12. Agreement to Terms

By completing your registration, you agree to these Terms and Conditions. Failure to comply may result in cancellation of your registration, additional charges, or removal from the event.
